Subject: Declaration of rent paid for HRA exemption

I, Rahul Sharma (employee ID BL-1042), PAN ABCPS1234D, declare that I live in a rented home at Flat B-204, Sushant Lok Phase 1, Gurugram 122009.

I have paid rent of ₹25,000 (Rupees Twenty-Five Thousand only) a month for April 2026 to March 2027, a total of ₹3,00,000 for 12 months, to my landlord Sunita Verma of C-12, DLF Phase 2, Gurugram 122002, PAN ABCPV1234K.

I do not own a residential house in this city, and I actually live in the rented home above.

I request that this rent be considered for the house rent allowance exemption. The details above are true to the best of my knowledge, and I will inform the company if they change. I understand I am responsible for any tax that becomes payable if they are found to be incorrect.

What is an HRA declaration?

An HRA declaration is a signed statement from an employee to their employer saying how much rent they pay, for which period, at which address and to whom. Employers use it, with rent receipts, to give the house rent allowance (HRA) exemption when deducting tax from salary.

HRA exemption is only available under the old tax regime. If you've chosen the new regime, your employer won't need it.

HRA declaration format

An HRA declaration shows your name, employee ID and PAN, your employer, the rented home's address, the landlord's name, address and PAN, the monthly rent, the period and the total, a statement that you actually live there, the place and date, and your signature.

If the yearly rent is more than ₹1 lakh, include the landlord's PAN; if the landlord has none, attach their signed declaration saying so.

Rules that apply

Landlord PAN above ₹1 lakh a year

If you pay more than ₹1 lakh a year in rent, give your employer your landlord's PAN; if they have none, a declaration from the landlord.

HRA only under the old tax regime

HRA exemption is available only if you choose the old tax regime; the new regime does not allow it.

Good to know

Is an HRA declaration enough without rent receipts?

Employers usually ask for both. Some accept a declaration alone for small amounts; check your company's policy.

Do I need my landlord's PAN for HRA?

Yes, if your rent is more than ₹1 lakh a year. If your landlord has no PAN, attach their signed declaration.

Can I claim HRA if I pay rent to my parents?

Yes, if you actually pay them rent and they own the house; they must show it as income. You can't claim HRA for rent paid to a spouse.

Can I claim HRA under the new tax regime?

No. HRA exemption is only available under the old tax regime.

When do I submit an HRA declaration?

At the start of the year with your investment declaration, and again with proofs, usually between January and March.

Is my data stored anywhere?

No. The declaration is made in your browser and its details never leave your device.
