What is a resignation letter?

A resignation letter is the formal notice an employee gives their employer that they are leaving the job. It states the position you're resigning from, your notice period and your last working day, and starts the exit process: handover, relieving letter, experience letter and full and final settlement.

Even if you resign by email or on an HR portal, a clear letter gives both sides a record of the date and the notice you gave.

Resignation letter format

A resignation letter is addressed to your manager, with the date and a subject line. It says you're resigning from your position, gives your last working day in line with your notice period, thanks the company, offers to hand over your work, and asks for your relieving letter and settlement. A reason is optional.

Keep it short and positive: future employers may call your old manager, and a gracious exit helps.

Rules that apply

Final settlement within two working days

Under the Code on Wages, 2019, in force from 21 November 2025, wages due to an employee who resigns must be paid within two working days of their resignation taking effect.

Good to know

How do I write a simple resignation letter?

Say you're resigning from your position, give your last working day, thank your employer and offer a smooth handover. Keep it to a few lines.

Do I need to give a reason for resigning?

No. A reason is optional; many people simply say they're leaving to pursue another opportunity.

Can I resign without serving notice?

Your contract decides it. Many employers allow you to pay salary in lieu of notice, or waive it; ask HR in writing.

Should I resign by email or letter?

Either works if your company accepts it. Email the letter as a PDF to your manager and HR so there's a dated record.

When will I get my final settlement?

Under the Code on Wages, wages due must be paid within two working days of your resignation taking effect; other dues may follow company policy.

Is my data stored anywhere?

No. The letter is made in your browser and its details never leave your device.
