What is an experience letter?

An experience letter, also called an experience or service certificate, confirms how long someone worked at a company and in what role. New employers and background-check agencies ask for it.

Experience letter format

On company letterhead, addressed “to whom it may concern”: the employee's name and ID, joining date and last working day, last designation and department, a short line on their work, and the signature of an authorised person.

Rules that apply

Dates should match EPFO records

Background checks compare the dates on experience letters with the date of exit in EPFO records, so keep them the same.

Good to know

Is an experience letter the same as a relieving letter?

No. A relieving letter confirms someone has been released from duties; an experience letter describes their tenure and role.

What should an experience letter include?

The employee's name, joining and leaving dates, last designation, a line on their work, and a signature on company letterhead.

Can an employer refuse an experience letter?

Practice varies by company and standing orders; most employers issue one after full and final settlement.

Does the letter need a company seal?

A signature on letterhead is usually enough; some employers also add a seal.

Is employee data stored?

No. The letter is made in your browser and its details never leave your device.
