What is a statement of account?
A statement of account is a summary of all transactions with one customer over a period: the opening balance, every invoice (debit), every payment or credit note (credit), and the balance still due. It's the customer's ledger, sent to them.
Businesses send statements monthly or quarterly, before chasing overdue amounts, and at year end so both sides can confirm their balances match.
Statement of account format
A statement shows your business name, the customer's name, the period, the opening balance, each transaction with its date, particulars, reference number, debit or credit amount and running balance, and the closing balance due.
A balance marked Dr means the customer owes you; Cr means you hold an advance or excess payment from them.
Rules that apply
Keep accounts for at least 72 months
GST-registered businesses must keep books of account, including invoices, credit notes and payments, for 72 months from the due date of the annual return for that year.

Good to know
What does Dr and Cr mean on a statement?
Dr (debit) means the customer owes you that balance; Cr (credit) means they've paid more than billed, or you hold their advance.
How often should I send a statement of account?
Monthly suits most businesses with regular customers; at least send one before chasing overdue invoices and at the end of each financial year.
What is the difference between a statement and an invoice?
An invoice bills one sale; a statement lists every invoice and payment for a period and shows the total still due.
Where do credit notes go on a statement?
In the credit column, like a payment, because they reduce what the customer owes.
Can I use this for vendor reconciliation?
Yes. Make a statement of what you owe a vendor by entering their invoices as debits and your payments as credits.
Is my data stored anywhere?
No. The statement is made in your browser and its details never leave your device.
