What is a payment reminder?

A payment reminder is a polite letter or email asking a customer to pay an invoice that is due or overdue. Most businesses send a friendly reminder a few days after the due date, a firmer second reminder after two or three weeks, and a final notice before taking further action.

A clear reminder with the invoice number, amount, due date and payment details gets paid faster, because the customer has everything they need in one place.

Payment reminder format

A payment reminder shows your business name, the date, the customer's name, a subject line with the invoice number, the amount due in figures and words, the original due date and how long it's overdue, a new date to pay by, how to pay, and your signature.

Micro and small enterprises registered on Udyam can also use the MSME Samadhaan portal if a buyer doesn't pay within 45 days.

Rules that apply

MSMEs: payment within 45 days

Buyers must pay micro and small enterprises within the agreed period, and never later than 45 days from acceptance; delayed payments carry interest, and MSMEs can file on MSME Samadhaan.

GST is due even if the customer hasn't paid

GST on an invoice is payable when the invoice is issued, not when you're paid, so chase overdue payments promptly.

Good to know

When should I send a payment reminder?

Send a friendly reminder 3–7 days after the due date, a firmer one after 2–3 weeks, and a final notice after about a month.

How do I write a polite payment reminder?

State the invoice number, amount and due date, assume it was missed by mistake, and make paying easy with your UPI or bank details.

What should a final payment notice say?

That earlier reminders went unanswered, the full amount and a firm deadline, and what you'll do next, such as stopping supplies.

Can I charge interest on late payments?

Only if your invoice or contract says so. Micro and small enterprises are entitled to interest under the MSMED Act when buyers pay late.

Should I attach the invoice?

Yes. Attaching a copy of the invoice saves the customer looking for it and speeds up payment.

Is my data stored anywhere?

No. The letter is made in your browser and its details never leave your device.
