7 copy-paste AI prompts for invoices, reminders and HR letters

Seven prompts for the paperwork small businesses do every week: payment reminders, invoice line items, quotations, offer letters and more. One tap to copy each.

Why most AI paperwork goes wrong

Ask an AI to "write a payment reminder" and it will cheerfully invent an invoice number, a due date and a late fee. The fix is a prompt that hands it the facts, says exactly what shape the answer should take, and tells it to ask rather than fill gaps.

Each prompt below ends with the same short set of rules. Fill in the parts in square brackets, keep placeholders for anything private, and copy.

“The most valuable sentence in any business prompt: "If any detail is missing, ask me instead of guessing."”

The prompts

1. Payment reminder in three tones

You're helping a small Indian business chase an unpaid invoice. Write three short payment reminders I can send by email or WhatsApp: (1) friendly, for 1 day overdue; (2) firm, for 15 days overdue; (3) final notice, for 30 days overdue, which says we'll charge interest under the MSMED Act if we're Udyam-registered. Facts: client [CLIENT], invoice [NUMBER] dated [DATE] for ₹[AMOUNT], due on [DUE DATE], payment by [UPI ID / BANK DETAILS PLACEHOLDER]. Keep each under 90 words. Rules: use Indian English, ₹ amounts with Indian commas (₹1,25,000) and dates as DD-MM-YYYY. If any detail is missing, ask me for it instead of guessing. Don't add facts, numbers or legal claims I didn't give you.

Then make it properly: Payment reminder generator →

2. Messy notes into invoice line items

Turn my notes below into a table of invoice line items with columns: Description, Quantity, Unit, Rate (₹), Amount (₹). Use clear, professional descriptions a client will understand. Leave HSN/SAC codes and GST rates blank; don't guess them. Add a total at the end and show your arithmetic for any line where you multiplied. My notes: [PASTE NOTES]. Rules: use Indian English, ₹ amounts with Indian commas (₹1,25,000) and dates as DD-MM-YYYY. If any detail is missing, ask me for it instead of guessing. Don't add facts, numbers or legal claims I didn't give you.

Then make it properly: GST invoice generator →

3. Quotation scope and exclusions

I'm sending a quotation for [SERVICE] to [CLIENT TYPE, e.g. a restaurant]. From my notes, write: a two-sentence summary of the work, a bulleted scope of what's included, a bulleted list of what's not included, the assumptions the price depends on, and validity of [NUMBER] days. Plain words, no sales fluff. Notes: [PASTE NOTES]. Rules: use Indian English, ₹ amounts with Indian commas (₹1,25,000) and dates as DD-MM-YYYY. If any detail is missing, ask me for it instead of guessing. Don't add facts, numbers or legal claims I didn't give you.

Then make it properly: Quotation generator →

4. Offer letter checklist

Review this offer letter draft for an Indian small business and list anything missing or unclear, as a checklist. Check for: job title, joining date, CTC and its monthly breakup, probation period, notice period, working hours and location, leave, and who signs it. Don't rewrite the letter and don't add legal clauses; just tell me what to fix and why. Draft: [PASTE DRAFT, WITH NAMES REPLACED BY PLACEHOLDERS]. Rules: use Indian English, ₹ amounts with Indian commas (₹1,25,000) and dates as DD-MM-YYYY. If any detail is missing, ask me for it instead of guessing. Don't add facts, numbers or legal claims I didn't give you.

Then make it properly: Offer letter generator →

5. A polite reply to a discount request

A client has asked for a [PERCENT]% discount on my quote of ₹[AMOUNT] for [SERVICE]. I can offer [WHAT YOU CAN OFFER, e.g. 5% for advance payment, or a smaller scope]. Write a short, warm reply that holds my price, explains the value in one sentence and offers that option. Under 100 words.

6. Explain a rent agreement clause

Explain this clause from an Indian rent agreement in plain words for a tenant: what it means, what it would mean in practice, and any questions worth asking before signing. Don't give legal advice; if it's unusual or one-sided, say I should check it with a lawyer. Clause: [PASTE CLAUSE]. Rules: use Indian English, ₹ amounts with Indian commas (₹1,25,000) and dates as DD-MM-YYYY. If any detail is missing, ask me for it instead of guessing. Don't add facts, numbers or legal claims I didn't give you.

Then make it properly: Rent agreement generator →

7. Monthly statement email

Write a short email to [CLIENT] to go with their statement of account for [MONTH]. Facts: opening balance ₹[AMOUNT], invoices this month ₹[AMOUNT], payments received ₹[AMOUNT], closing balance ₹[AMOUNT], oldest unpaid invoice [NUMBER] from [DATE]. Thank them for payments received, point out the balance clearly and ask them to confirm it matches their books. Under 120 words. Rules: use Indian English, ₹ amounts with Indian commas (₹1,25,000) and dates as DD-MM-YYYY. If any detail is missing, ask me for it instead of guessing. Don't add facts, numbers or legal claims I didn't give you.

Then make it properly: Statement of account generator →

From words to a proper document

  1. Run the prompt with placeholders, not real names or ID numbers.
  2. Read the result as if you were the client. Fix tone and facts.
  3. Open the matching DocketBee tool, fill in the real details and paste in the wording.
  4. Check the preview and download the PDF. The details you type stay on your device.

AI wording is a draft. You're responsible for the amounts, tax details and terms on anything you send.

Questions people ask

What's the best AI prompt for a payment reminder?

Give the AI the invoice number, amount, due date and how overdue it is, ask for a specific tone and length, and tell it to ask if anything is missing.

Can AI make a GST invoice?

It can tidy up line items, but don't let it guess HSN/SAC codes or GST rates. Use an invoice tool that calculates the tax for you.

Should I put client names into AI prompts?

No. Use placeholders like [CLIENT] and add the real details when you make the final document.
